See Catalog guides. Abridged decimal classification. See Decimal classification. Accession books. The accession book is used to record the books as property of the library. It is ruled for descriptive data of them, giving complete identification. It is an important business record, and affords a basis for a valuation of the contents of the library. In form and sizes adopted as standard by the American Library Association (the A. L. A. Standard and the Condensed accession book) printed on best ledger paper, with strongest binding obtainable, these books will withstand the severe tests of hard usage and time. Half numbered books have the units and tens printed and repeated throughout, the 100's and 1000's being added as entries are made. Full numbered books have the 100’s and 1000’s printed in the volume on every 5th and 10th line. The name of the library is printed on the side of the accession books without charge. Condensed accession book. Of similar form to the Standard accession book, but with narrower columns. It is of convenient size both to use and to store. When desired, any of the above cabinets can be fitted with a lever key rod which can be removed only by means of a key inserted into the groove of the escutcheon. The expense of compiling a catalog is so much greater than the cost of the materials used, that the utmost durability in the latter is economy. Library Bureau standard cards are pure linen stock specially manufactured from our own formula. Each lot is analyzed chemically to guard against adulter- ation and specially to detect any presence of wood sulphite which is contained in most cards not so manufactured, and which causes rapid deterioration with use and exposure to light. Size of catalog cards was one of the first topics considered by the Ameri- can Library Association in 1876 and the discussion continued until the following recommendations were established : (1) Metric measurements should be used to obtain a greater degree of exactness and uniformity than was possible in inches. (2) The sizes of cards adopted and designated as standard were 5 x 12.5 cm. and 7.5 x 12.5 cm. (3) The latter size proved so satisfactory in all library records, and in addition having been adopted by the United States government as the size for postal cards, that it has taken first rank as standard. Library Bureau maintains A. L. A. standard sizes in all its material. L. B. cards are cut with special machinery, invented and patented by Library Bureau, which insures absolute accuracy and a perfect edge on each card. Exactness in size is essential in cards for catalog purposes as any variation prevents accurate and rapid handling. Cards cut by ordinary machinery or dies cannot be satisfactorily handled because of the various kinds of edges produced. Library Bureau standard cards are made in three weights. L, or light- weight, being the thinnest card practical for cataloging use. R, or heavy-weight, being one-half heavier than the L weight and recommended by authorities for cataloging purposes. X, or extra heavy weight, being double the L weight and used where the utmost permanency is required. Commercial grade. Where strict economy in original cost is more important than durability, cards of our Commercial grade may be used. These are manu- factured with the same regard to uniformity of size and composition as our stand- ard grade and of good linen stock. This grade of card is superior to any other card stock on the market, aside from L. B. standard grade. A quantity discount of five per cent. will be allowed on orders amounting to 10,000 cards, and of ten per cent. on orders amounting to 20,000 cards. These discounts apply to both Library Bureau standard and Commercial grade cards. Unless otherwise specified, cards will be furnished with the round punch shown in the illustration on the following page, and of white stock. Cards of other colors and punchings can be supplied when desired. In ordering use the catalog number, and for the sake of accuracy write out the kind of ruling and name of card. See Book card. Charging system. The charging system is necessary in every library for keeping an accurate account of its borrowers and the books they take out and should show, with the least possible expenditure of time and labor, the whereabouts of every piece of library property loaned, with the name and address of the person responsible for it, and the date for its return. Approved Library Bureau system. Long experience in dealing with the needs of libraries, large and small, leads to the recommendation of this system, because of its economy both in first cost and in the time of the attendant, as well as its simplicity and exactness of record. This system consists in the use of (1) a borrower's card for each person entitled to draw books, (2) a card pocket for each book, (3) a book card (charg- ing card) for each book, (4) guide cards printed with the days of the month to show due books, (5) a charging case or receptacle with date guides for holding the book cards of the books which are out, and (6) a book or cards for registra- tion of borrowers. Charging system—continued. The borrower's card is the key note of this system, placing definite responsibility in the care of public property, on every card holder. The borrower's card bears his name, address, registry number and any other data the library may choose to put on it, with spaces for charging the books borrowed. The book pocket, preferably the Acme No. 1165, for holding the card be- longing to the book when it is in the library, should be pasted on the inside of the front cover so that the cards cannot slip out in handling the book. The borrower’s card can be stored in the book pocket while the book is in his possession. Each book card, often called charging card, represents a book. The charging card, at a convenient time, is placed in the charging case, next to a guide card showing when the book is due, and forms the record of the fact that that book is out of the library, having been taken by borrower No. On returning the book, the borrower again presents his card with the book, the charging card is taken from the case, both are stamped with the date returned, the charging card placed in the card pocket, the borrower's card returned to him, and the book placed on the shelf, thus completing the transaction. The shelf list is most liable to change and most subject to wear of all library records, as it must always be a correct report of condition and arrange- ment of the library collections. It is used at inventory time “to read the shelves” and if strict arrangement has been preserved, will show the volumes missing. The most convenient and practical way of keeping the correspondence of a library in order is by the vertical filing sys- tem. This needs little explanation for librarians, as in theory and operation it is identical with the card catalog system already familiar to them. The matter to be preserved is sepa- rated according to correspondent or subject and placed in strong manila folders, which are filed on edge in drawers corresponding to the trays of a card catalog. The arrange- ment may be alphabetic or numeric. In the latter case a card index is used as a key to the numbers. Useful as this system is for the orderly preservation of correspondence it is of still greater value in a library for the arrangement of the mass of miscellaneous matter, such as photographs, pamphlets, clippings, manuscript notes and other data which cannot be kept in order in any other way. Everything relating to a certain subject can be brought together and made available for reference when it would otherwise be scattered in several places and be practically useless. This system has come into such general and varied use that it has been made the subject of a separate catalog which will be sent on application, or the system will be adapted to the special needs of any library on request. The cut shows a two-drawer correspondence file. Withdrawal records. May be kept on cards or in one of the less expensive accession books. It records the author, title, call number, accession number, date of withdrawal, withdrawal number, reason for withdrawal and fact of replacement of all books withdrawn from library.
